[REFRESH DRAFT] Corporate Holiday Party in Provo: How Do You Throw One Everyone Will Talk About (In a Good Way This Time)?

By Tiffany Burbidge

TLDR: Pick a room with personality, add one or two moments people will remember, feed everyone well and keep the program short. Sparks Museum and Event Center seats 200 to 300 at rounds or holds up to 700 standing, with 85 on-site parking spaces. Rates start at $300 an hour with a 3-hour minimum, and tables, chairs, AV and lighting are included.

Most teams are tired by December. A good holiday party gives people a night off together, and it shows leadership noticed the year they had. A bad one is the pizza-in-the-break-room night nobody mentions again.

Why do corporate holiday parties still matter?

They matter because a good party is one of the few times the whole company is in one room for something other than work. People meet coworkers from other teams, new hires meet leadership and everyone gets a real thank you for the year.

The parties people talk about later have a few things in common. The room feels different from the office. There are one or two moments worth a photo. The food is good and there is enough of it. The program is short, and nobody is forced to perform. If attendance is the problem, our guide on getting employees who normally skip to attend goes deeper.

What makes a good venue for a corporate holiday party?

A good holiday venue has enough room for your guest count, parking for everyone and a look you do not have to build from scratch. Ask for real numbers on all three.

At Sparks Museum and Event Center, 4134 W Center Street:

  • Capacity. The 5,000 square foot single-level floor seats 200 to 300 at rounds, or 500 standing comfortably, with a maximum of 700.

  • Parking. 85 on-site spaces, including accessible spaces, plus about 50 street spaces along Center Street. Stay out of the bike lanes. The parking guide explains the math.

  • What is included. Tables, chairs, AV and lighting. That includes two linked 65-inch smart TVs that connect to your computer by HDMI, with the cable provided. Linens are extra, through the preferred vendor Specialty Linens.

  • Tables. 30 six-foot round tables that seat 8 each, so the included rounds seat 240. There are also 4 eight-foot and 3 six-foot rectangular tables for food, drinks and gifts. Extra tables or chairs beyond that come from a third-party rental vendor.

  • Hours. Museum hours are 10 AM to 5 PM. Private parties can run until midnight, or later by arrangement.

  • Food. Open-vendor catering with a warming kitchen, so you can bring your own caterer. There is a drink setup, and food and drinks can go anywhere in the grand space.

The room itself is a museum of petroliana, with vintage and neon signs, antique gas pumps and classic cars. The cars are roped off, and guests can be around them. The lights and neon can be partly turned off for a party mood, but the room never goes completely dark, because the museum's valuables need some light.

What are 10 creative ideas for a corporate holiday party?

The best ideas give a familiar holiday party one unexpected twist. Here are ten that fit the room.

1. Winter in the City

Go with a winter palette, a jazz playlist or trio and a fancy hot chocolate station. Hang paper snowflakes with blue painter's tape, and take them down at the end. Skip confetti and glitter, which are not allowed because they cause problems for the antiques.

2. Ugly Sweater Gala

Set a dress code, hand out awards for the worst sweater and hire a photographer. The neon signs make a strong backdrop for group shots.

3. Reindeer Games Team Olympics

Pick three to five quick challenges, each under 5 minutes, with rules you can explain in 30 seconds:

  • Gift wrap relay. Each person wraps an empty box while wearing oven mitts.

  • Marshmallow toss. Teammates toss large marshmallows into a partner's Santa hat.

  • Holiday movie trivia. A short team quiz.

  • Candy cane pickup. Players hook mini candy canes out of a bowl with a candy cane held in their mouth.

  • Antler ring toss. One player wears inflatable antlers while teammates toss rings.

Assign teams ahead of time so nobody stands around asking who to join. Set each challenge up as its own station with a sign and keep a scoreboard nearby. Pick an emcee who enjoys a microphone. Cap the whole thing at 30 to 40 minutes and run it right before dessert. Our corporate Christmas party games post has more.

4. Hot Cocoa and Cookie Bar

Set up a cocoa bar at the drink setup with toppings, candy canes and a cookie table. It works for guests who do not drink and gives people a reason to walk around.

5. Charity Drive Station

Let employees pick a cause ahead of time and bring toys, coats or food. Put the collection by the entry so people see it as they arrive.

6. Holiday Murder Mystery Night

A museum full of vintage pieces suits a mystery. Give guests characters a week ahead and let them dress up.

7. White Elephant With a Twist

Set a $10 limit and a "the weirder the better" rule. Give a host a microphone to comment on every gift.

8. Photo Booth With a Green Screen

Put your team at the North Pole or in an 80s holiday card. Or skip the green screen and use the classic cars and gas pumps as the backdrop. Guests can pose near the cars, which stay roped off.

9. Live Music Lounge

Book a local acoustic act and turn the lights down. A 12 by 10 foot stage is included with the rental, and bands can bring their own PA system. Private parties can run until midnight, or later by arrangement.

10. Silent Disco

Each guest gets wireless headphones and picks a channel, such as holiday songs, Top 40 or a lounge mix. People who want to dance can, and people who want to talk can hear each other. You will need a headphone rental company, a playlist or DJ for each channel and one or two volunteers to hand out and collect headsets. Haze and fog machines are not allowed, so skip the snow and smoke effects.

How do you plan the party timeline inside your booked hours?

Build the timeline from your booked hours, because setup and teardown count inside them. Decor drop-off also happens only during your reserved hours, so the first thing your committee does is book enough time.

Here is a sample 4-hour Friday booking for 120 guests, which uses 15 of the 30 rounds:

Time in booking What happens
Hour 1 Setup. Linens, centerpieces, the photo spot, the games stations and the cocoa bar go out. The caterer sets the buffet.
Hour 2 Doors open. Guests eat and mingle, and the photo spot opens.
Hour 3 A short program on the two linked TVs, then games or awards. Keep the program under 40 minutes.
Hour 4 Dessert and goodbyes, then teardown in the last 30 to 45 minutes.

At $500 an hour for more than 100 guests on a Friday, that booking is $2,000. On a Monday through Thursday with more than 100 guests, the same 4 hours is $1,600.

A teardown plan that fits:

  1. Give teardown its own crew of three to five people, and tell them before the party starts.

  2. Pre-pack one bag per table at the office, and put the empty bags back under the tables near the end.

  3. Take down hanging decor and every strip of blue painter's tape first.

  4. Clear centerpieces table by table, then fold or bag the linens the way Specialty Linens asked.

  5. Walk the floor one last time for anything left behind, especially loose pine needles.

The $125 cleanup fee is the minimum. Extraordinary cleaning comes out of the $750 damage deposit, and the rest is returned after the event, so a clean teardown is worth the extra hands.

How much does it cost to rent a venue for a corporate holiday party?

At Sparks Museum and Event Center, the rate depends on the day and your guest count, with a 3-hour minimum. There is no holiday pricing.

Day Up to 100 people More than 100 people
Monday to Thursday $300 an hour $400 an hour
Friday and Saturday $400 an hour $500 an hour

A full day (up to 8 hours) is $2,800 Monday through Thursday or $3,300 on a Friday or Saturday. A $750 refundable damage deposit reserves the date. The $125 cleanup fee is the minimum. Extraordinary cleaning beyond that comes out of the deposit, and the rest is returned after the event. Events can be booked with 48 hours' notice.

Setup and teardown count inside your booked hours. A 3-hour Friday party for 150 people is $1,500. Add an hour for setup and it is $2,000. For food and per-person math, see the office Christmas party budget guide.

What should you ask before you book a holiday venue?

Ask these before you sign anything:

  • Is your date open? Ask early for December Fridays and Saturdays.

  • What is included in the rental: tables, chairs, AV, lighting, linens?

  • Can you bring your own caterer, or must you use the venue's?

  • What are the alcohol rules? At Sparks Museum and Event Center, alcohol has a $300 fee, requires a preferred vendor and needs general liability with liquor liability naming Sparks Museum and Event Center.

  • What are the decor rules? Here, decor goes up with blue painter's tape only, and never on the signs, gas pumps or cars.

  • Does setup count inside your hours? Here it does, along with teardown. Decor drop-off happens only during your reserved hours, so book extra hours if you need more time.

  • What time does the party have to end?

The corporate Christmas party checklist walks through the full timeline.
